Pallet Exchange Note Template

A pallet exchange note records reusable pallet movements between parties: who handed over pallets, who received them, quantities by type, returns, balance and condition. It gives dispatch and accounting a traceable basis for pallet balances.

Practical guide

Use the template as a structured handover, not as filler. Complete the fields that affect price, execution, safety or proof, and remove sections that do not apply so the important information stays visible.

Keep dates, times, addresses, references, quantities and money values unambiguous. For operational documents, version changes should be obvious so driver, dispatcher, customer and warehouse are not working from different instructions.

How it works

Copy the template, fill the shipment-specific fields, verify the information with the source order or booking, then share one final version with the people who need it. Record later changes instead of silently editing an old copy.

When to use it

Use it whenever EUR pallets or other returnable load carriers are exchanged at loading, delivery, cross-dock or depot. Record zero exchange as well when that fact affects the pallet account.

What to check before dispatch

The note does not prove pallet ownership or automatically settle contractual pallet debts. Confirm which pallet types are exchangeable, acceptable condition criteria, signatures/stamps and the customer or carrier rules used for the account.

Worked example

Example: at delivery the driver hands over 18 EUR pallets and receives 14 acceptable EUR pallets back. Record delivered 18, received 14, balance −4 for the agreed account, plus any rejected damaged pallets in remarks.

Common mistake

The common mistake is recording only “18 pallets” without direction. Always separate pallets delivered from pallets received back and state the pallet type; otherwise the balance is ambiguous.
