Loading Checklist Template

A loading checklist is a short final control before departure: right vehicle, right cargo, acceptable packaging, payload and distribution checked, securing completed, documents collected and exceptions recorded. It helps catch operational mistakes while the truck is still at the loading site.

Practical guide

Use the template as a structured handover, not as filler. Complete the fields that affect price, execution, safety or proof, and remove sections that do not apply so the important information stays visible.

Keep dates, times, addresses, references, quantities and money values unambiguous. For operational documents, version changes should be obvious so driver, dispatcher, customer and warehouse are not working from different instructions.

How it works

Copy the template, fill the shipment-specific fields, verify the information with the source order or booking, then share one final version with the people who need it. Record later changes instead of silently editing an old copy.

When to use it

Use it at every loading where cargo count, condition, weight, securing or documents matter—especially when the driver did not prepare the shipment details personally.

What to check before dispatch

A checklist is not a load-securing calculation or legal axle-weight check. Confirm actual vehicle payload and axle limits, cargo securing method, dangerous-goods requirements when applicable, seal/reference numbers and any visible damage before departure.

Worked example

Example: 18 EUR pallets booked; driver counts 18, checks packaging, confirms gross cargo weight against the order, verifies securing, notes one damaged corner on the CMR, photographs it and reports departure time.

Common mistake

The common mistake is ticking “cargo count checked” from paperwork without physically confirming the load. The checklist is useful only when the checks are actually performed.
