Use the template as a structured handover, not as filler. Complete the fields that affect price, execution, safety or proof, and remove sections that do not apply so the important information stays visible.

Keep dates, times, addresses, references, quantities and money values unambiguous. For operational documents, version changes should be obvious so driver, dispatcher, customer and warehouse are not working from different instructions.

How it works

Copy the template, fill the shipment-specific fields, verify the information with the source order or booking, then share one final version with the people who need it. Record later changes instead of silently editing an old copy.

When to use it

Use it before dispatching the truck, especially for multi-stop trips, strict booking slots, unfamiliar sites or shipments with document and handling requirements.

What to check before dispatch

Check that every address, time window, booking/reference number and contact is current. Instructions must never override traffic law, driving/rest rules, site safety rules or safe cargo handling. Avoid telling the driver to use an unsafe or prohibited route just to meet ETA.

Worked example

Example instruction: Load 08:00–09:00 at Gate 4, booking ABC123; collect signed CMR; deliver before 14:00 at Dock 7; call dispatch immediately if the site refuses cargo or records damage.

The common mistake is sending an address and ETA but omitting the booking reference, contact person or document requirement—the details that often block the truck at the gate.
